How to Photograph Your HVAC Data Plate (and Get a Faster Quote)

Short answer
The data plate is on the side of the outdoor unit and inside the furnace or air-handler door. Photograph the whole label in landscape with the flash off, plus a close-up of the model and serial lines. Our photo upload reads brand, model, serial, approximate age and condition so the tech arrives with the right parts and options.
Where is the data plate on my HVAC system?
Every piece of equipment carries a manufacturer's label, usually a silver or white sticker, with the model number, serial number, refrigerant type, electrical ratings and sometimes a manufacture date. On the outdoor condenser or heat pump it is almost always on a side panel near where the copper line set and the electrical whip enter the cabinet. On some units it is under the top grille or behind a small access door. You do not need to remove anything to see it.
Indoors, a gas furnace or electric air handler keeps its plate inside the cabinet. Open the upper or lower door (the blower door on most furnaces) and the label is on the inside of the door, on the cabinet wall, or on the blower housing. Many furnaces also have a second label on the outside near the gas valve side. Cased evaporator coils sitting on top of a furnace have their own plate on the coil cabinet.
For package units on a pad or roof, the plate is on an exterior panel. Ductless mini-splits have one on the side of the outdoor unit and another on the indoor head, often under the flip-up cover. Thermostats show their model on the back of the faceplate, on the base once you pull the head off, or in the settings menu on smart models.

How do you read a data plate: brand, tonnage and age?
The brand is printed at the top. The model number usually encodes capacity: on most residential brands a two-digit group such as 24, 30, 36, 42, 48 or 60 is the nominal BTU rating in thousands, which divides by 12 to give tonnage (36 is three tons, 48 is four). The same plate lists the refrigerant (R-22, R-410A, or R-454B on new equipment), the voltage, and the minimum circuit ampacity and maximum breaker size the electrician needs.
Age is in the serial number, and the encoding differs by brand and by era, so treat the patterns below as common rather than guaranteed. Carrier and Bryant usually put week then year in the first four digits, so a serial starting 3216 often means the 32nd week of 2016. Goodman and Amana generally use year then month, so 1605 reads as May 2016. Trane and American Standard since about 2010 open with the two-digit year and then the week; 2002 to 2009 units used a single year digit and older ones a letter.
Lennox often carries the year in the third and fourth digits with a month letter in the fifth, and many Lennox plates also print a plain manufacture date. Rheem and Ruud commonly place the week and year in the four digits after a middle letter, though older styles differ, and York uses a letter-and-digit year code that changes by generation. If a serial does not decode cleanly, do not guess; send the photo and let us read it against the model line, which is what the table below is for.

What does our photo upload actually do with it?
When you book online, your portal has a photo upload at /portal/photos with tags for the outdoor unit, indoor unit, data plate, thermostat, ductwork and vents. Each photo runs through an AI read that extracts the brand, model, serial, approximate age and visible condition, notes whether the data plate was actually readable, and flags concerns such as rust, oil stains, ice, or a crushed flex duct. That summary goes to the office and to the assigned technician, and you get a plain-language note back in the portal.
The point is not a price from a picture. The point is that the tech rolls up already knowing it is a 2009 three-ton R-22 Goodman with a rusted contactor, so the right capacitor, contactor and refrigerant options are on the truck and the repair-versus-replace math is prepared instead of guessed. Photo tips that make the plate readable
Data plates are shiny, small, and usually in bad light, which is exactly what phone cameras struggle with. A few habits fix most of it. Turn the flash off and use a flashlight held off to the side, or just open the door wider; a direct flash whites out the label. Wipe the dust off first. Shoot in landscape so the long model and serial lines fill the frame, tap the screen on the text to focus, and take one photo of the whole label plus one close-up of just the model and serial lines.
Then step back and take one shot of the whole unit, outdoor and indoor, and one of the thermostat screen. Condition photos are as useful as the plate: the AI and the tech both learn from rust streaks, a leaning pad, a burned wire, or a filter that has not been changed since the last tenant. For video, pan slowly and hold still on the label for a few seconds.

What to skip, and what not to do
Do not remove screwed-on panels, especially the electrical compartment on the outdoor unit or the burner compartment on a furnace; the blower door that lifts off by hand is the only one you need. Do not climb into a tight attic or onto a roof for a photo; tell us it is up there and we will handle it. Do not photograph the wiring diagram thinking it is the data plate; it is useful, but the label with model and serial is the one we need.
You can skip the breaker panel, the filter unless you are asking about filters, and the inside of registers. If your system is older and the label has faded past reading, a photo of the cabinet badge plus the outdoor unit is still useful, and you can look up published ratings for any model number yourself in the AHRI directory once you have it.
What happens after you upload?
Your portal shows the read-back for each photo within a short while, and the office confirms your arrival window with the notes attached. The technician sees the same summary before leaving the shop in Southaven, which is why photo-first visits finish on the first trip more often. If the read turns up something that changes the visit, such as an R-22 system where a recharge would not make sense, we call before the truck rolls.

How do I find the age of my AC unit from the serial number?+
It depends on the brand. Carrier and Bryant usually use week-then-year in the first four digits; Goodman uses year-then-month; Trane since 2010 uses year-then-week. Formats change by era, so if it does not decode cleanly, upload a photo and we will read it.
What does the model number tell me about tonnage?+
